Microsoft Forms: How popular is your Form?

Nowadays, with more and more people working remotely, Microsoft Forms plays a big role in collecting information in an organized way. Microsoft Forms enables you to know how popular your Form is and provides you basic statistics to understand how to improve it. It’s a good tool for administrators to understand the usage and provide users with guidelines or even.

Microsoft Forms can be used for:

  1. Feedback
  2. Requests
  3. Questions and Answers

Any of these have something in common. If they are not used, they are not useful at all. So it would be best if you had statistics to guide you.

Important Caveat:

You should know before you start that this information is only available in the Administrator Console. For some, this can be an issue, but this information is beneficial for an administrator when checking individual services and how they are used.

We’ll focus on the administrator part today, but you should contact your Office 365 Administrator to get more details if you want more information.

How to check the statistics?

Microsoft 365 has an amazing admin center for those who don’t know, especially the reporting section. You can check all kinds of reports for all the services, including Microsoft Forms.

To access them, go to www.office.com. Select “Admin.”

If you can’t see the “Reports” tab, press “Show all.”

Expand the reports.

Select usage:

Scroll down to the “Forms” section:

You’ll have your user information right there.

Note:

This is my own instance of Office 365, so it’s “normal” that I don’t have much traffic because I’m a “one-man company,” but you should see a lot more in your instance.

What to do with them?

Now that we have the information, we can see 2 essential metrics:

  1. The number of people that create forms
  2. The number of people that answer the forms.

Why is this so important?

Imagine a school that uses Office 365. One of the amazing things that teachers can do is to create quizzes for their students. Adoption is essential so you can check the percentage of people who are creating the quizzes (and who) and the percentage of students answering them. If the number is not what you expect, you can talk with the teachers and let them know about low adoption and how they can change the Forms to use them more.

Another example is corporate Forms. Imagine that you’re working for an international company and you have low adoption in places outside the English speaking countries. Maybe the solution could be to translate the Form to enable other people to participate more.

Simple changes could make all the difference, but you need to have information to make those decisions.

Final thoughts

Having good Forms is important, but it’s not enough. It’s important to know if they are being used, who the power users are, who the people are that are not using them, and why. Information can be hiding from you because you don’t make simple changes to the forms.

So ask your Administrator for information or, if you are the administrator, try to provide that information to the people who use Microsoft Forms the most and let them improve and know a little more about improving them.
